Define the file that moves between teams
A lending workflow becomes difficult to operate when each team has a different version of the same application. Start by agreeing what constitutes a complete credit file, who owns each stage and what evidence must travel with the case.
This checklist is an operational starting point for embedded-finance platforms. Adapt it to your product, data availability and internal policies. It is designed to reveal missing handoffs before a launch.
Borrower onboarding to underwriting
- Identify the business, authorised representatives and application owner.
- Record the requested product and the application’s current status.
- Capture the required consent and document which data sources it covers.
- List received documents, missing items and connector outcomes.
- Make KYC/KYB results and unresolved review tasks visible to the receiving team.
- Assign a person or queue to resolve incomplete cases.
Acceptance question: can an underwriter begin the review without asking operations to reconstruct the application?
Underwriting to the decision owner
- Keep source evidence connected to transaction and cash-flow analysis.
- Show document integrity findings and outstanding AML/UBO review items.
- Record the policy and risk weights used for the assessment.
- Separate the proposed limit from the approved decision.
- Capture exceptions, conditions and the responsible reviewer.
- Record a reason for an override or decline.
Acceptance question: can another authorised reviewer understand why this case reached its current outcome?
Approval to disbursement
- Confirm the approved amount, product terms and conditions.
- Check that required conditions have been resolved before release.
- Confirm beneficiary details through the agreed operational process.
- Assign the disbursement owner and record the payment outcome.
- Reconcile the approved terms with the account created in loan management.
Acceptance question: does the servicing account reflect the actual approved agreement, including any exceptions?
Servicing to finance and portfolio oversight
- Define repayment allocation and account-sweep handling.
- Make partial, late and unmatched payments visible to operations.
- Assign owners to reconciliation exceptions.
- Agree ledger mappings and provisioning inputs with finance.
- Define the portfolio report fields and reporting cadence.
- Retain context when a case moves to a different operational team.
Acceptance question: can finance and operations explain the same account balance from the records they receive?
Rehearse the exceptions before launch
Run the complete workflow with an approval, a decline, an incomplete application and a repayment exception. For every failure, record the owner, next action and expected evidence. Fix ambiguous ownership before adding more automation.
